SERVICE

Event Management and Institutional Communications

Bring brand ideas into a real gathering. Connect event visuals, schedules and documentation into an experience that runs from the invitation to the recap.

Event Management and Institutional Communications

Events and Institutional Programmes

Turn a need into a clear direction.

We work backwards from participant needs and the organiser's deliverables. EBA is representative institutional collaboration experience covering its website, applications, judging workflow and event content. It is not a Starbay-owned brand.

SCOPE

What we can work on together.

Proposal and work schedule

Objectives, participants, responsibilities, budget items and deliverables, structured around procurement needs where relevant.

Run-of-show and reception plan

Agenda, venue flow, team roles and guest arrangements, with an itinerary for study visits.

Event visuals and production files

Agreed key visuals, invitations, programme booklets, backdrops or signage, checked for names and dimensions.

On-site delivery and media

Coordination of agreed event roles and delivery of selected photos or videos. Livestreaming and equipment are separate scope items.

Close-out and follow-up content

An execution summary, asset index, event media and recap copy, assembled into the organiser's required report format.

OUR PROCESS

A clear focus at every step.

01

Build the work plan around the event

Provide dates, location, audience, budget and procurement requirements. Set the format and essential outputs first.

02

Align the agenda, materials and venue

Update the run-of-show with guest and venue arrangements, keeping design, production, reception and filming coordinated.

03

Deliver and close against the checklist

Record on-site changes, organise media and recap material, then check that the agreed outputs are complete.

What can I prepare before we start?

Plan backwards from the event date

Venue, speakers, registration, content, production and on-site delivery each have different decision deadlines. Scope communications and materials only, or coordinate the full work list. Each option defines client approvals, supplier interfaces and the final handover.

Prepare for the first review

  • Date, city, venue status, audience and expected capacity.
  • Verified host, partner, sponsor and public-facing names.
  • Required outputs, approval points and on-site responsibilities.

FAQ

You might be wondering.

More questions? Get in touch.

Can we commission only the event visuals and materials?

Yes. Key visuals, booklets, backdrops and wayfinding can be a standalone scope. We first check the organiser's agenda, brand information, dimensions and venue constraints.

Can a study visit request specific institutions or companies?

Yes. We can help define the visit purpose and approach. The itinerary depends on the host's willingness and availability; attendance by a named organisation or guest is not guaranteed.

Are photography, livestreaming and a highlights film all included?

Not by default. We specify crew, equipment, streaming needs, finished formats and editing work according to the event's purpose.

What is Starbay's relationship with EBA?

EBA is a representative institutional service case, not a Starbay-owned brand. The public case covers collaborative website, application and judging operations, alongside programme booklets and event content.
